Requesting a Custom Packaging Quote Online: What to Prepare

You can start a custom packaging enquiry before every design detail is finished. Send the information you already know, mark estimates clearly, and identify the decisions you still need to make. This gives the supplier a useful basis for discussing the project without treating an unfinished design as a confirmed specification.
BOYA’s Contact page has a Request a Quote form. Submitting it starts an enquiry; it does not confirm a price, reserve production or establish a delivery date. Keep the quotation and approval steps separate from the initial form submission.
Start with the fields on the enquiry form
The current form asks for your first name, last name and email, with fields for company, phone, packaging type, approximate quantity, dimensions/material/finish, target timeline, and project details or a reference link.
Packaging type: name the format if you know it. If you are unsure, describe the product and how the package will be used.
Approximate quantity: give a quantity or range for each size or design. Explain whether it is a confirmed requirement or an estimate.
Dimensions, Material or Finish: state which dimensions refer to the product and which refer to the finished box. Include units and identify internal or external box dimensions where known.
Target timeline: say whether the date means sample approval, dispatch or arrival at the receiving location.
Project Details & Reference Link: explain the purpose, artwork status, open questions and delivery country and city. Include a relevant reference link only when you are authorized to share it.
The form provides a reference-link field. If you need to share large artwork files or samples, ask how to provide them in the project correspondence; do not assume the form is an artwork upload or live design tool.
If the artwork is unfinished, separate confirmed details from open decisions
You do not need to invent a material grade or box structure just to complete the form. A clearer brief separates three kinds of information:
Confirmed: the product being packed, its dimensions if available, intended use and requirements that cannot change.
Estimated: quantities, provisional packaging dimensions or a target date that still needs checking.
Open for review: box structure, insert arrangement, material options, print coverage, finishing or artwork that has not been completed.
For example, you can explain that the product dimensions are confirmed, the box structure is open for review and the printed artwork is still in development. State whether a reference image shows the shape, appearance or finish you want. A reference image does not define every material or production detail.
If the quantity, material or finish is provisional, ask for those assumptions to be identified in the quotation. A change to them may require a revised price, sample or schedule.
Include the actual receiving location
Your company address may be different from the packaging delivery address. Give the receiving country and city in your first enquiry, followed by the complete address and receiving requirements before delivery arrangements are finalized.
For delivery to a product supplier or factory in China, name the receiving company when known and explain who will approve the packaging. Add the required arrival date and any known factory booking or unloading requirements.

Make your question specific enough to answer
Use the project-details field to explain the next decision you need help with. Useful questions include:
Can the project be assessed from the product dimensions and a reference image before the artwork is final?
Which missing details would affect the quotation most?
What sample would help us check the product fit?
Can you identify the assumptions behind the proposed material and finishing options?
Which packing and receiving details are needed to assess delivery to our product factory?
If you have several SKUs, label each size or design consistently in your brief and references. A single total quantity can hide how the order is divided between different versions.
Worked example: two SKUs in one packaging enquiry
The following is an illustrative brief for two desktop accessories, not a customer case or a BOYA offer. The quantities are example buyer estimates, not minimum order quantities or confirmed orders.
Shared requirements
Brief reference: DESK-A-B, revision 01. One product per retail folding carton; the receiving factory will assemble the cartons and pack the products by hand.
Appearance: a common brand layout. The material, board specification, closure and surface finish are open for review. Please identify any option that would differ between the two SKUs.
Delivery: both SKUs to the same product factory in Zhongshan, China. The factory's full receiving address and contact are still to be confirmed. Keep the two SKUs separately identified in the packing plan.
Date: the buyer wants both SKUs received at the factory on 18 November 2026 for packing. This is a requested arrival date, subject to feasibility review. No dispatch date or production period has been agreed.
SKU A: compact accessory
Confirmed product: one item, 80 × 50 × 25 mm (length × width × height), 120 g, with no loose accessories. These are product measurements; the finished carton dimensions remain open.
Estimated request: 2,000 cartons.
Artwork reference: DESK-A-artwork-r02.pdf, a layout draft with product copy still under review. It is not approved for printing.
Open question: what carton dimensions and restraint, if any, would allow the product to fit and be removed as intended?
SKU B: larger accessory
Confirmed product: one item, 110 × 65 × 30 mm (length × width × height), 190 g, with no loose accessories. Its carton dimensions also remain open.
Estimated request: 800 cartons.
Artwork reference: DESK-B-artwork-r01.pdf, an early layout with a different product name and barcode area. The buyer still needs to supply and verify the final barcode data.
Open question: can the proposed material and closure meet this SKU's needs, or should the supplier assess a separate option?
The question to send with the brief
Please assess A and B as separate specification lines: 2,000 + 800 = 2,800 cartons in total. Identify the assumptions and missing information for each SKU. A common brand layout does not establish that both products can use the same dieline or material specification. Please recommend which sample checks are needed for each product before the carton dimensions are confirmed.
Keep later changes just as specific. If B increases to 1,200 cartons, revision 02 should show A unchanged at 2,000, B revised to 1,200, and a total of 3,200. Keep the unchanged artwork references explicit and ask whether the quantity change affects the quotation or proposed arrival plan. A quantity revision does not approve either artwork file.

What to confirm after the first response
Check that the reply refers to the same product, quantity breakdown and receiving location. Keep any open questions with the current brief so later messages do not silently replace an earlier requirement.
Before treating a quotation as final, confirm its specification basis, included and excluded costs, sample requirements, delivery scope and any assumptions. Before approving production, confirm the artwork and sample versions and the agreed commercial conditions. The exact requirements depend on the project.
A form submission or an acknowledgement of receipt does not replace these confirmations. Avoid treating an estimated date or an early reference image as an approved production instruction.
